Course Policies

Registration Policies

  • Course registration for all our courses closes 15 days prior to the course due to the fact that we have to order materials in advance of the class and some classes have prerequisite logistics.
  • Registration is found in the REPORTER system. You must create an account in the Brickyard or use your previously created account to register for our classes. Please do not create new accounts if your email has changed. Reach out to us at iesregistration@ncsu.edu to update your login email if you no longer have access to the email your REPORTER account was created with.
  • If you are registering someone else for our courses, you must login as yourself in the REPORTER registration system and then add the person as “Other” in the cart. You will need the following information unique to that person to register them: email, phone number, address, company, and title. Please do not register yourself to hold a place for someone else.

 

Registration Restrictions/Cancellation Policy for Virtual Instructor-Led Courses

  • For ALL Virtual Instructor-Led Courses: Course registration for our Virtual Instructor-Led courses closes 15 days prior to the course due to the fact that we have to ship materials in advance of the class and some classes have prerequisite logistics.
  • Pertaining to OSHA Virtual Courses only: In order to qualify to take our Virtual Instructor-Led OSHA Course, you must live or work within Region IV or be an authorized trainer through Southeastern OTIEC. Region IV includes the following states: North Carolina, South Carolina, Tennessee, Kentucky, Mississippi, Alabama, Georgia, or Florida.
  • Pertaining to OSHA Virtual Courses only: Registrations for OSHA Virtual Instructor-Led Training courses will be accepted for current participants pursuing a certificate program through the Southeastern OTIEC or NC State IES if the participants do not live or work within Region IV (as listed above) or are not a current Southeastern OTIEC Authorized Trainer.
  • Pertaining to OSHA Virtual Courses only: If you register yourself or someone else who does not meet the above criteria for an OSHA Virtual class, the registration is subject to be cancelled, but no cancellation fees will apply.
  • For ALL Virtual Instructor-Led Courses: Cancellations more than 10 business days (minimum 2 weeks) of a course/conference are subject to a $25 cancellation fee.
  • For ALL Virtual Instructor-Led Courses:Cancellations within 10 business days (minimum 2 weeks) of a course/conference are subject to a minimum $75 cancellation fee (depending on the class materials cost) due to the fact that course materials have to be shipped to participants 2 weeks prior to the course.
  • For ALL Virtual Instructor-Led Courses: Cancellations on or after the course/conference start date will receive no refund of the registration fee.
  • For ALL Virtual Instructor-Led Courses: A substitution of participant can only be made if materials have not yet been sent to the participant who was originally registered OR if accommodations can be made to get the materials to the substituted participant without having to resend them.
  • For ALL Virtual Instructor-Led Courses: Transfers requested after course materials have been sent (usually under 15 days prior to the course) may incur a transfer fee or be subject to a cancellation fee if no other offerings are available in the virtual format for that class.
  • IES reserves the right to cancel any courses/conferences for reasons such as instructor illness, adverse weather or low enrollment with no cancellation fee to be incurred by the participants.

Payment Policies

  • All registration fees must be paid in full prior to the start of a class.
  • Credit Card and Check payments will be accepted. Purchase Orders (PO) cannot be accepted for our Open Enrollment Public Courses.
  • The “Pay Later” option has a 10 business day payment deadline for courses starting more than 15 days out, but payment must be made no later than 15 days before the course starts. This option should only be used when these deadlines can be met. If a registration is not paid within 10 business days or by the 15 day mark before the class starts, the registration will be cancelled.
  • If the course start day is less than 15 days out, it is recommended that registrations be paid by credit card online (if seats are still available). The registration system will only allow credit card payments at short notice for registrations under 15 days. Contact the registration coordinator with questions at iesregistration@ncsu.edu.

 

Classroom Course Cancellation Policy

  • Cancellations more than 10 business days (minimum 2 weeks) of a course are subject to a $25 cancellation fee.
  • Cancellations within 10 business days (minimum 2 weeks) of a course are subject to a minimum $50 cancellation fee which will be deducted from amount refunded. If course materials and catering has been ordered for the participant, the cancellation fee will be significantly higher and deducted from the refund.
  • Cancellations on or after the course start date will receive no refund of the registration fee.
  • No Shows will receive no refund of course fees.
  • IES reserves the right to cancel any courses for reasons such as instructor illness, adverse weather or low enrollment with no cancellation fee to be incurred by the participants.

 

 Online Course Cancellation Policy

  • There is no refund of course fees if a participant has accessed the course material in the learning management system.
 

Transfer Policy

  • There are no fees associated with transfers of a participant between class offerings more than 15 days before a class, unless more than two course transfers have been made to a single registration.
  • A $50 Course Change fee will be incurred if a transfer is done in 15 days or less before the start of a class or if more than 2 transfers for the same registration have occurred.
  • For ALL Virtual Instructor-Led Courses: Transfers requested after course materials have been sent (usually under 15 days prior to the course) may incur a transfer fee or be subject to a cancellation fee if no other offerings are available in the virtual format for that class.

 

Substitution Policy

  • Substitutions of one participant to another participant can only be made IF there is not a wait list for a class. Please contact iesregistration@ncsu.edu if you have questions about substitutions or need to make a substitution.
  • For ALL Virtual Instructor-Led Courses: A substitution of participant can only be made if materials have not yet been sent to the participant who was originally registered OR if accommodations can be made to get the materials to the substituted participant without having to resend them.

 

Adverse Weather Policy

  • During adverse weather events and other emergency conditions when the University’s schedule is altered, course participants will be notified by their instructor or the IES Registration Coordinator of any change to the course schedule.
  • The safety of our course participants is extremely important to IES.  If a participant misses any portion of a course due to hazardous travel or other emergency conditions, the instructor will work with the participant to cover the missed material if possible, or a course transfer can be made with no additional fee.

 

Wait List Procedures and Payment Policy

  • If you were added off a wait list for a class, your payment is due within 24 hours of the add OR by 2pm the next day including weekends if the class starts within 15 days. If not paid within 24 hours or by 2pm the following day, the system will drop you. If you are added off the wait list and the class is more than 15 days out, you have until the 15 day mark at 2pm to make the payment. Please contact iesregistration@ncsu.edu as soon as possible after you are added off the wait list and before being dropped if payment cannot be made in that time frame or if you have a paid registration at a later date.
  • Sometimes a seat becomes available within the 15 day time frame prior to a class. We will make our best efforts to add waitlisted people upon receipt of a seat cancellation, but we cannot guarantee we can add someone at the last minute due to logistics (ie. materials, prerequisites, catering).

 

Online Course Refund Policy:

  • If the course material has not been accessed by the participant, a full refund can be processed.

 

Refund Process Times:

  • Credit Card refunds can take up to 48 business hours to be processed and will be processed back to the card from the original authorization.
  • Check Refunds can take up to 2 weeks to be processed and will be cut and mailed back to the organization or person the check originally came from. A W9 may be needed to process check refunds.
